IT system maintenance and AI automation for business From assessment to ongoing support.

Managed IT services at improveIT cover application takeover and maintenance, API integrations and AI workflow automation. We start with an assessment and agree the scope, testing and measurement of results.

What do managed IT services with AI automation include?

We combine maintenance of existing applications with data flow control and selected AI workflow automation. We first assess the system, then agree repair priorities and acceptance criteria. After launch, we can monitor operation, handle errors and develop the solution within an agreed scope.

We work with businesses in Poland and remotely with international teams. The service covers applications, integrations and business workflows; infrastructure support is agreed individually.

Our services

Application takeover and stabilization

Risky deployments, a departed vendor or recurring failures? We assess the system, prioritize fixes and organize ongoing maintenance.

  • Dependency map and issue backlog
  • Logs, deployments and backup review
  • Stabilization plan and knowledge handover

Integrations and data flow control

Orders, invoices or customer records do not match between systems? We find the cause, repair the flow and add operational checks.

  • A map of the integration flow
  • Data comparison and missing record detection
  • Retry controls and alerts

Integrations and data flow control

Automate one process with AI

We choose one repetitive task and measure the current workflow. Then we test whether AI improves the outcome at an acceptable quality and cost.

  • Time, quality and cost baseline
  • A prototype with human review
  • Results report and recommendation

Automate one process with AI

AI automation maintenance

Monitoring, error handling and updates for live workflows. A clear support scope and a person to handle exceptional cases.

  • Error and cost monitoring
  • Tests before changes go live
  • Exception handling procedures

AI agent reliability testing

We test how an agent handles invalid data, missing permissions and tool failures, and define the boundaries of autonomous actions.

  • Scenarios and acceptance tests
  • A report of errors and limitations
  • Recommendations before launch

AI cost optimization

We measure the cost per successfully completed task, compare models and identify ways to reduce spending while maintaining agreed quality.

  • Model comparisons on the same tasks
  • Usage and retry cost analysis
  • Limits and an optimization plan

When should you request an IT assessment and support?

An application needs takeover or repair

Documentation is missing, releases are manual or you are changing vendors. An application assessment establishes code health, dependencies and repair priorities.

Application takeover and maintenance

ERP, CRM and store data do not match

Orders or invoices are missing, records are duplicated or staff make manual corrections. We assess API integrations, retry behavior and error monitoring.

System and API integrations

Your team repeats the same manual tasks

Staff copy data from emails and documents or prepare similar replies. An AI pilot tests automation quality and cost before production deployment.

Business workflow automation

What do you receive after assessment and delivery?

  • A system or workflow assessment with issues and priorities.
  • An agreed work plan, responsibilities and acceptance criteria.
  • During delivery: agreed changes, tests and operating and handover instructions.
  • During maintenance: monitoring, reporting and issue handling under the support agreement.

FAQ

Can we start with a small scope?

Yes. We start with one application, integration or repetitive process. After assessment, you receive a scope, acceptance criteria and a proposal. Pricing depends on complexity and data availability.

How long does an application or integration assessment take?

Typically one to two business weeks after receiving the necessary access. We confirm the timeline and scope before starting. Larger systems may require a separate plan.

How do you measure the results?

We establish a baseline for time, cost, quality and exceptions, then compare results on an agreed sample including human review and tooling costs. We do not guarantee a predetermined level of savings.

Do you work with existing code and infrastructure?

Yes. We take over existing applications and integrations. We review code, dependencies and infrastructure, then propose improvements suited to your current system.

What happens after an AI pilot?

You receive a report on quality, cost and limitations. This informs the decision on production deployment and maintenance. A pilot may also show that a process is not worth automating.

What determines the cost of managed IT and AI automation?

Pricing depends on the number of applications and integrations, code health, documentation, data quality and agreed support hours and scope. AI workflows also include testing, human review, model and infrastructure costs. We prepare a proposal after assessing your needs.

Does AI automation require replacing an ERP or CRM?

Not always. If the current ERP, CRM or other system provides suitable APIs or data exports, automation can often be added to the existing workflow. We assess interfaces, permissions and limitations, and suggest alternatives if integration is not feasible.

Can AI act independently in our business systems?

We define autonomy based on the consequences of errors and test results. Pilots include human review, restricted permissions and operation logging. Exceptional cases should be routed to an assigned person; production requirements are agreed separately.
